Information for incoming MNTRiO President

 

1. Before becoming President obtain the schedule of events from the President and update as many as you can. You must put these on your calendar, request permission to travel, etc. Begin scheduling state MNTRiO meetings and reserve sites and dates for MNTRiO quarterly meetings.

2. Obtain letterhead and make applicable changes.

3. Review Committee Charges and send out request to all committee chairs asking if they will remain committee chair for your year. If not, begin recruiting new chairs. The most crucial is the conference committee, they should begin planning and scheduling as soon as the spring conference ends.

4. Have previous President send you copies of earlier MNTRiO agendas, MNTRiO Presidential Reports and MAEOPP State Presidential Reports.

5. Reimbursement for travel becomes complicated. First of all, MAEOPP reimburses MNTRiO for part costs on the rooms which are rented for MAEOPP meetings. Other than filling out the form at the MAEOPP meeting, which directs the check to the MNTRiO Treasurer, you do not deal with this. For MAEOPP meetings, MNTRiO will reimburse total cost. Where a MAEOPP meeting coincides with a conference, the flight will be covered by your program and the conference nights will be covered by your program. MNTRiO will reimburse for shuttles, food costs over and above what the meeting provides, and rooms for the nights of the meeting.

6. The MAEOPP conference in November is where the official changing of the guard occurs. As a MAEOPP board member you will be meeting Friday and Saturday. The conference begins on Sunday and runs to Wednesday morning. The state President and President-elect are responsible for a reception which includes snacks and drinks. Tradition has a gift purchased for the out-going MAEOPP President of about $60-100 from MNTRiO funds with a state theme, (Northland Native American Gifts in Minneapolis is good. The new President and President-elect usually purchase a small gift for the outgoing state President. Lastly, the outgoing President traditionally buys some type of gift for all those who served with him at the state level. This can be done at the conference or at the transition meeting a month later. Dress is business casual for three days and formal for three days.

7. The Policy Council meeting in Washington is not mandatory but strongly encouraged for both the President and President Elect.
